Introduction

Amazon Chime is a secure, all-in-one communications platform that allows you to meet, chat, and make business calls within and outside your company. Amazon Chime allows you to stay connected across all of your devices, allowing you to work efficiently from anywhere.

Amazon Chime

Users of Amazon Chime Pro can schedule Amazon Chime meetings directly from their calendar apps, such as Outlook or Google Calendar. They can also use auto-call to call meeting attendees automatically. They can also:

  • Schedule meetings with a calendar app.
     
  • Schedule meetings with Google Calendar.
     
  • Schedule meetings with the Add-In for Outlook.
     
  • Cancel meetings.
     
  • Schedule best practices.
     
  • Reschedule a meeting when the host leaves.

1️⃣Scheduling meetings with the Add-In for Outlook

To schedule a meeting from Outlook, follow these steps.

  1. Choose Appointment, New Meeting, and Schedule Amazon Chime Meeting to choose a meeting day and time.
     
  2. (Optional) If you're a delegate, double-check that the email address associated with the Amazon Chime user you're scheduling matches the calendar you chose in Outlook.
     
  3. Choose a Meeting ID type.
     
  4. (Optional) Choose international phone numbers from the dropdown menu under Invitation in the Outlook side panel.
     
  5. The invite includes meet@chime.aws, instructions, a meeting link, dial-in information, and a meeting ID.
     
  6. If necessary, make changes to the meeting instructions before selecting the Schedule.
     
  7. (Optional) You must also provide the moderator password to one or more attendees who will function as meeting moderators if you create a moderated meeting with a passcode.
     
  8. Click on Send to send the invite.

2️⃣Scheduling meetings with Google Calendar

By using Google Calendar, you can also schedule Amazon Chime meetings.

To schedule a meeting using Google Calendar:

  1. Select Meetings from the Amazon Chime app and then Schedule a meeting.
     
  2. Choose Next after selecting your meeting options.
     
  3. Choose Google Calendar as your calendar app in the Select your calendar app section.
     
  4. Review the Meeting instruction preview field.
     
  5. Choose Google Calendar as your scheduler.
     
  6. In your regular browser, a new tab appears. Make sure this browser is signed into your Google account using the same email address as your Amazon Chime account.
     
  7. An invitation from Google appears. Instructions for the meeting are included, and an invitation to Amazon Chime. Amazon Chime is also included as an invitee on the Invitation. It allows for auto-dialing and begins the meeting for registered attendees at the stated start time.
     
  8. Fill in your name, date, time, and other details if asked.
     
  9. Send the Invitation.
     

📝Note: (Optional) Choose Copy moderator info and distribute the moderator information to one or more attendees who will function as meeting moderators if you created a moderated meeting with a password. The information for moderators is not included in the Amazon Chime meeting invitation and must be delivered separately.

3️⃣Scheduling meetings with a calendar app

Using calendar software to schedule a meeting

  1. Select Meetings from the Amazon Chime app and then Schedule a meeting.
     
  2. Choose Next after selecting your meeting options.
     
  3. For Select your calendar app, choose Other.
     
  4. Make a new meeting on your calendar app.
     
  5. Select Copy addresses in the Amazon Chime app and paste the required email addresses to your calendar invitation.
     
  6. Copy the invitation text into your calendar invitation by selecting Copy invitation.

4️⃣Canceling meetings

Canceling individual meetings

If you create an individual meeting with a calendar app, you can also cancel the meeting with the same app. If your calendar app alerts you, send the cancellation to all attendees.

Canceling recurring meetings that continue to auto call

To cancel a recurring meeting.

  1. Choose Home from the Amazon Chime app.
     
  2. There's a list of ongoing and upcoming meetings (meetings that start in the next 30 minutes).
     
  3. Choose the Delete meeting series after selecting a meeting that you hosted.
     
  4. Confirm the deletion when asked.
     
  5. Amazon Chime will end the meeting for all attendees if the meeting has already begun. There will be no auto-calls for subsequent recurring series meetings for the host and invited guests.

5️⃣Scheduling best practices

Here are some useful recommendations to follow when setting up meetings, regardless of whatever app you use to schedule your Amazon Chime meeting.

😍Creating the personalized link

When you sign up for an Amazon Chime account, you'll be given a 10-digit Personal Meeting ID. You may create a personalized link by selecting Add Personalized Link under your name to make it easier for guests to join your meetings.

😍Helping mobile users join your meeting

Copy and paste the One-click Mobile Dial-in into the Location area of your meeting invite when inviting mobile users. They can choose the string to dial in automatically and enter the Personal Meeting ID when the calendar reminder for the meeting shows on their mobile devices.

😍Using auto-call

Amazon Chime can use auto-call to contact all attendees when your meeting starts on all registered devices. You and your participants do not need to keep an eye on the calendar to attend the meeting.

Make sure meet@chime.aws is invited to your meeting before using auto-call.

😍Inviting a distribution list

If you want to avoid inviting individual users one by one to a weekly or monthly meeting with a large team or department, schedule the meeting with meet@chime.aws, then delete meet@chime.aws.

Attendees can manually enter their PIN by opening the meeting link in the instructions, selecting Meetings, Joining a Meeting, and entering the PIN manually.

6️⃣Rescheduling a meeting when the host leaves

When meeting hosts leave their organizations, their accounts are suspended by an administrator or a system like Active Directory, and their meetings become inactive.

When this happens, auto-calling stops operating. However, recurring and individual meetings may still appear in your calendar app.

You also can't use a prior host's meeting ID or generate a new meeting bridge ID for an existing meeting. The meeting must be rescheduled. Take the following steps:

  1. Use your calendar app to cancel the meeting if the previous host made you a delegate. Go to step 2 if you aren't a delegate.
     
  2. Make a new meeting and schedule it. Then, invite the people who attended the previous meeting. You can either host the meeting yourself or have someone else do it.

7️⃣Collaborating using Amazon Chime chat

You have two options for chatting with Amazon Chime: Amazon Chime chat and in-meeting chat. See Using in-meeting chat for more information on using the chat in meetings.

You can chat with coworkers one-on-one, in a group, or in a chat room with Amazon Chime. You can exchange up to 50-megabyte attachments, search contacts, discussions, and chat rooms across all devices, and read conversations.

You can go to Recent Messages to see the most recent one-on-one and group messages from the previous seven days or All Messages to see your entire chat conversation history. To keep track of essential threads, use Favorites.
