Amazon WorkDocs allows you to share, store, manage or collaborate on files stored in the cloud with your co-workers. Your files are secure here as they are visible only to you and if shared with your collaborator and reviewer then they can also see the files. Getting started and Accessing Amazon WorkDocs

We use Amazon WorkDocs in our organization to share and store documents, get document feedback from reviewers, and collaborate with others. The WorkDocs can be accessed on the web, or we can install apps for macOS, Windows, Android, or iOS devices. But it is not available for Linux OS. 

To get started, you need to go through the following steps:

Step 1 - Get Invited

To join an Amazon WorkDocs organization, you have to be invited by the owner. The administrator creates an organization and invites people to join. The privilege of inviting can also be granted to you by the administrator, with which you can also invite people to join the organization.

Step 2 - Registering in the Organization

After receiving the email from the administrator to join the Amazon WorkDocs organization, firstly, you need to register. Registering process involves entering your user information, which includes the following -

  • First name 
  • Last name 
  • Password

 

The things which are changeable on your profile after registering are -

  • Profile Photo
  • Time Zone
  • Password

Step 3 - Using Amazon WorkDocs

After completing the above steps, you can start working with Amazon WorkDocs. You can use web clients or apps for mobile devices like Android, iPad, and iPhone.

Getting Started with the Web Client 

The web client of Amazon WorkDocs is a website where you can download, upload or organize your files and folders on Amazon WorkDocs. The limit for downloading and uploading files is up to 5 GB each. The flexibility of commenting and viewing the document is provided. Previews of different types of files are displayed by the Amazon WorkDocs web client, depending upon the type of document.

One of the following web browsers is required by the Amazon WorkDocs web client -

  • Google Chrome version 30 or later
  • Mozilla Firefox version 30 or later
  • Mozilla Firefox ESR version 24.6 or later
  • Microsoft Internet Explorer 10 or later
  • Apple Safari version 7 or later

Getting Started with Android

The features provided by Amazon WorkDocs Android apps are -

  • view the files
  • comment on the files
  • download the files

You can download, view, and give feedback on other documents if you have permission. You can download the Amazon WorkDocs app from the google play store or Amazon Appstore for Android. Then you can sign in with your user name, organization name, and password.

System requirements -

Android 5.1 or later is required for Amazon WorkDocs in an android phone or tablet app.

Other than this Amazon WorkDocs android tablet application requires one of the following -

  • Kindle Fire HD 6
  • Kindle Fire HDX 7 (3rd Gen and later)
  • Kindle Fire HD 8
  • Kindle Fire HD 7 (2nd Gen and later)

Getting Started with iOS

The features provided by Amazon WorkDocs iPad and iPhone apps are -

  • view the files
  • comment on the files
  • download the files

You can download, view, and give feedback on other documents if you have permission.

The iPad and iPhone apps allow you to edit and view files in other iOS apps and save your documents from the iOS app to Amazon WorkDocs.

You can go to the Apple app store to download the iPad and iPhone app and sign in with your organization name, user name, and password.

System requirements -

The following will be required for the Amazon WorkDocs iPhone client application -

  • iPhone with iOS 11 or later

 

The following will be required for Amazon WorkDocs iPad client application -

  • iPad with iOS 11 or later

Supported File Types in Amazon WorkDocs

Any file can be uploaded on Amazon WorkDocs, but you will be able only to provide feedback or view these files -

  • Microsoft Office Word
  • Microsoft Office Excel
  • Microsoft Office PowerPoint
  • OpenDocument Text files with the .vnd.oasis.opendocument.text extension
  • .javascript, .x-javascript, .x-sh, .x-python, .vnd.lotus-screencam, and .smil
  • Image files with the .jpeg, .png, .tiff, and .bmp extension.
  • Text file with .txt extension
  • .pdf
  • Office Open XML files
  • .rtf, .xml, .xhtml+xml, and .xslt-xml
  • Text files with the .html, .plain, .csv, .x-c, .x-c++, .x-makefile, .x-java-source, .x-java, .javascript, .x-perl-script, .x-python-script, .x-ruby-script, .php, .rtf, and .xml extensions
  • CAD files with the .dwg, .vnd.dwg, and .autocad_dwg extensions

Using Amazon WorkDocs Drive

Amazon WorkDocs Drive allows you to open and work with Amazon WorkDocs files on your computer's desktop. By default, on your laptop, Amazon WorkDocs drive appears as drive W:

we can upload and download files up to 5TB each on Amazon WorkDocs Drive and allow file path lengths of up to 260 characters.

Working with files and folders includes:

  • Creating folders.
  • Downloading and uploading files.
  • Editing files.
  • Locking files for editing and deleting files and folders in Amazon WorkDocs.

Organizing and editing files and folders

We can perform the following operations on how to organize and edit folders and files in the Amazon WorkDocs web client.

  • Creating folders
  • Moving and renaming files and folders
  • Editing files
  • Deleting files and folders
  • Managing the recycle bin only on the web

Naming, uploading, and downloading files and folders

This explains the naming limitations for folders and files in Amazon WorkDocs, and How to download and upload folders and files. You can also upload multiple folders and files by using Amazon WorkDocs Companion with File Explorer if you have a window machine.

Locking and unlocking files

You can prevent other users from overwriting your work by locking a file. Only the person who locked it can upload a new version of the file after editing it while the file is locked. But others can send a request to unlock the file.

Reverting a file to a previous version

At any time, you can revert your file to its last version.

Viewing file versions

By performing the following steps, you can view a specific version uploaded by any of the users ( if they upload more than one version )-

  • Open the file in the web client.

 

The file's title appears below the menu bar, and a list control reads vX of X.

  • Open the vX of X list and select the uploaded version you want to view.

Viewing files offline

You can use Amazon WorkDocs Drive to view files offline. You can download any file you are authorized to if you are using Amazon WorkDocs on your iOS device or Android by viewing the document and choosing the download icon. Then on your device, offline files will be available.

Searching files and folders

Amazon WorkDocs smart search searches for the terms you have permissions for in all files and folders. By default, it searches file and folder names, labels, metadata, comments, user names, and file owners. It also searches content within text-searchable files, such as Word, PDF, Excel, PowerPoint, .txt, JavaScript, and other code files. 

Sharing files and folders

You can share folders and files with the user inside or outside your organization. You can share by sending an invitation or sending a link. By invitation, you can decide what all permission that user will have.

Sharing by invitation

You can invite a group of users or users to share a file or folder outside or inside your organization. 

Sharing a link

You can share your Amazon WorkDocs folders and files by sharing links with others. You can share file links inside or outside the organization, but you can share its links internally only for folders.

Removing share permissions

You can remove groups of users or users from the share permissions if you are a folder, file owner, or co-owner.

Removing yourself from a share

You can remove yourself from sharing after someone shares a folder or file with you.

Transferring document ownership

You can request a transfer of ownership for any combination of folders and files you own. This transfer of ownership will remove ownership from you altogether.

Amazon WorkDocs allows you to open and work with Amazon WorkDocs files on your PC. As drive W: Amazon WorkDocs Drive appears on your PC by default.
