Introduction

Collaboration in Postman involves the interaction of various users and stakeholders. Thus, controlling access to elements of a workspace is essential. Every activity performed in a workspace requires specific permissions granted by roles. According to the action to be performed, users can request a role. Sharing workspaces is another important aspect of collaboration in Postman, where users can share their work with multiple team members.

Requesting Access

Roles and permissions give the admins the power of access control. Users need to submit a request to the owner for access. All requests to access an element are sent as notifications to the owner. Users who want to edit components in the API collection, the environment or the mock server have to Request an editor role access. A lock icon next to the collection's name denotes that a user cannot edit it. To request editor role access:

Step 1: Select Collections from the sidebar. 

Step 2: Click on the three dots next to the element name and select Manage roles.

Step 3: Click on Request Access.

Step 4: Enter the user you want to send the request to and choose the editor role.

The request will be sent to the user as an email notification. Once the request is approved, the requester is also notified by email. All requests are valid for 15 days.

Sharing in Postman

Before a user can request access, they must be invited into the shared workspace. A shared workspace is where multiple users can share their work and collaborate. Postman elements can be shared via a link or moved to a shared workspace. To share an individual element, click on the three dots next to the element’s name and select Share. In the Share Inventory, users can enter the recipients' names and set a role for them. Elements of a private workspace can only be shared with people who already have access to the workspace. Only Admins can invite external users to access a workspace element. The invited team members and groups are notified about the request to collaborate. Another way of sharing collections is using a Run in Postman button.

Share collection

The Run in Postman button allows users to fork a collection. It can be embedded anywhere for developers to interact with the API more quickly. Collections can also be shared using a JSON link. The link is sharable to the public and redirects users to a static collection version.

The Professional plan allows users to assign and manage basic roles and permissions. In addition to the features of the professional plan, the Enterprise plan allows Identity Access Management with user governance.

How are requests to access private workspaces approved?

Workspace admins are notified of all requests to access the workspace. By clicking Respond to Request, the admin can either approve and grant access or deny and reject the request. Requests that aren't reviewed for more than 15 days expire.

What elements can’t be moved between workspaces?

Monitors can not be moved between workspaces. Elements of public, private or team workspace can not be transferred to a personal workspace.
