    Job Description

    Travel Desk
    1. Processing and validating the travel request.
    2. Accommodation handling outstation & in station.
    3. Ensure optimum utilization of hired premises.
    4. Outside accommodation and local transport for travelling associates.
    5. Negotiating with vendors to effect the best deals.
    6. Interfacing with travel agents.
    7. Coordinating with CS team in other states on need basis.
    8. Following up with finance for the payments.
    9. Monthly weekly reports to FLCL.

    Vendor Management
    1. Raising Purchase orders for all non-medical requirements.
    2. Preparing contracts and maintain all the related files.
    3. Coordinating with vendors for bills generation.
    4. Submission of bills to finance and follow up for the payments.
    5. Collect different quotations.
    6. Negotiating the price with vendors.
    7. Generate the reports related to bills processing and submission to FLCL.

    Help Desk & Coffee Vending Machine
    1. Handling the various queries and stream lining the request to concerned SPOCs and follow up.
    2. Generate the tracker of the help desk requests and submit to the FLCL.
    3. Maintenance of coffee vending machine.
    4. Tracking the consumption on daily basis.
    5. Coordinating with vendor management team for processing the stock requests.
    6. Coordinate and follow up for the spiral binding requests.


    Transport
    1. Managing the provision of pool cab services for the associates.
    2. Tracking the log sheet provided by the cab drivers and tallying for the bill preparation.
    3. Validating the cab request.
    4. Bus transport management.
    5. Tracking the employee contribution for the bus transport.
    6. Call centre transportation management.
    7. Negotiating with vendors for pricing.
    8. Bills management & submission to finance and follow up for the payments.

    Training Interface
    1. Coordination with caterers for provision of food for all the associates undergoing training.
    2. Ensuring optimum utilization of hostel provision.
    3. Managing the special catering requests for VIPs and Guests.
    4. Coordinating the transport for training associates.
    5. Tracks the hostel maintenance and coordinate with maintenance team.
    6. Interfacing with security to take the details of the new training batches.
    7. Searching for hostels on need basis.
    8. Interacting with training coordination of EML.
    9. Bills validation , processing and follow up with finance for payments.
    10. Weekly report generation and submission to FLCL.

    Mobiles & Data-cards Management
    1. Stream lining the user details.
    2. Tracking the usage of all the numbers and data cards.
    3. Bills validation and processing for payments.
    4. Handling activation, deactivation and cancellation requests.

    Security
    1. Ensuring security process compliance in the campus.
    2. Accompanying VVIPs/VIPs from the entry gate.
    3. Communicating to associates about security processes.
    4. Daily tracking of the security registers.
    5. Maintenance of the fire alarms.
    6. Maintenance of CC TVs.
    7. Responsible for Keys management.
    8. Defines and communicates responsibilities of all security personnel.
    9. Defines process for security alignment.
    10. Handling escalations in case of security lapse.
    11. Daily report submission to FLCL.

    Petty Cash Management
    1. Managing the Imprest amounts for multiple purposes.
    2. Coordinating with various FLCBs for capturing the required information for generating access cards.
    3. Maintaining the tracker for petty cash.
    4. Maintaining the photocopies of all the bills.
    5. Ensuring the timely submission of bills.

Salary: INR 1,75,000 - 2,75,000 P.A.
