1. Job Purpose
To manage the depot warehouse, inventory, reconciliation, distribution, last mile customer service, procurement, compliances, general administration, vendor payments.
This will be achieved by proactive planning of resources, vendors, continuous engagement with 3rd party C&F team to deploy qualified and experienced resources, supported by robust warehouse best practices, continuous monitoring of customer service to meet the SLA.
2. Principal Accountabilities
Manage a warehouse team of up to 20-30 workers, 4-5 staffs.
Along with the team, execute up to 200-300 deliveries every day. Manage the inward, outward, picking, packing, invoicing, e-Waybill and customer despatch.
Create and ensure strict adherence to SOPs.
Coordinate with suppliers, transporters, other vendors on a daily basis.
Identify, manage and solve grievances of entire team.
Directing, Optimizing and coordinating full order cycle.
3. Warehouse Management
Responsible for the organizing and delegation of all activities performed in the warehouse .
Responsible for providing the setup layout and management of space.
Responsible for planning and controlling of overall activities in the warehouse.
Responsible for setting targets in relation to the policy of the company.
Responsible for the development of staffs by providing training.
Needs to keep a check on absenteeism and over time as well.
Needs to ensure that safety and health requirements are met in the warehouse.
Responsible for the security of the stock and the warehouse.
Responsible for maintenance of housekeeping in the warehouse.
Responsible for maintaining reports pertaining to the warehouse. The reports include inventory of stocks, dead stock, consumption and manpower.
Responsible for providing cost cutting ideas in the warehouse.
Needs to motivate the staff in the warehouse to maintain efficiency and also provide opportunities to move up the career ladder.
To identify and negotiates rates with the carrier agencies to improve productivity.
Needs to research to improve overall operations.
Record maintenance as per statutory need.
Coordinate and arrange the quarter end stock taking as per the stock taking policy. To obtain a stock accuracy of 90% and above.
Timely submission of the stock reconciliation report and initiate recovery from C&FA for the shortages.
Coordinate and arrange for Insurance claim in case of damage of stocks at warehouse and damaged receipts.
Maintain Gift & Scheme register complaint form.
Coordinate with IT for any system related issues computer, printers.
Maintain the printed stationeries.
4. Customer service
90% and above pick list to complete on the same day.
Follow FIFO and plan order execution to match the next delivery schedule of customers.
Delivery vans and courier consignments to customers to leave on time as per the trip sheet generated.
Attend to customer queries on the stock discrepancy, consignment delivery details, goods return, other despatch related issues.
To handle the web sales completion of Amazon, Flipkart orders within 24 hours of order receipt and keep the consignments ready for despatch as per pick up schedule.
Keep trip sheet and invoices with customer acknowledgement for delivery in order for retrieval in future.
Support in E-Waybill generation.
Follow the sales cut off policy.
Reporting of stock at bay during every month end.
To handle the various depot spend freight, C&F charges, rental, stationeries, telephone bills, water, statutory bills, petrol, diesel, security bills, mobile charges, IT leased line charges, bonus to staff, mobile charges, OT charges.
To raise PR/PO and arrange the purchase in adherence to the procurement policy.
To do GRN and forward the bills to the Finance department for payment once service is received. Follow-up on payment with DXC.
Handle new vendor opening in VDMS.
Responsible for enforcing strict adherence of Health and Safety policy.
Recording of the near miss, incident, leading indicators in Intelex.
Compliance task to be completed and logged in Komrisk portal.
Ensure Remittance of PF, ESI, Bonus, Professional tax as per the legislation.
Responsible for adherence to shops and establishment act, working hours, OT, women safety at work place, prohibition of child labour, monitoring holiday on 7th day.
Responsible for fire safety, risk assessment of various task carried out in warehouse.
Maintain first aid register.
Manage internal and external audit. To score a good rating in GIA.
Coordination with C&F, manage the C&F employees, work allocation and multi training.
Event management Organising training program in coordination with HR
Attend to day-to-day issues at depot.
Coordinate with other functions commercial, finance for the smooth working of the depot.
