Job Overview:

Responsible for the oversight, management, and reporting of Financials for the Global Physical Security function, which includes:

  • A total cost center of approximately € 6,496,750.00.
  • > 20 cost centers across.
  • On average, 25 active projects.
  • Function of approximately 3 personnel.

Job Description:

  • Finance:Oversees and manages the finance and accounting function. For accounting, this includes more specialized activities that are performed to meet accounting and financial reporting requirements that result from legal obligations or SAP internal global policies. For finance, this may include more specialized or specific administering activities such as accounting, commissions, order management, accounts receivable, treasury management, contracts or billing that may not be in scope of a global Finance Shared Service organization. These roles may complete transactions within a specialized area and may interact with the broader F&A Community to achieve desired results/services.
  • Participates in the monthly close process including posting journal entries, reviewing and reconciling balance sheet and profit and loss accounts, and providing detailed analysis. Creates, posts, and reconciles intercompany transactions while ensuring compliance with the SAP Accounting Guidelines. Assists with the annual financial audits, tax audits as well as the preparation of the year-end financial reporting packages.
  • Responsible for daily treasury activities like financial risk management, financial asset management, FX and cash management. Provides reporting, forecasting and related support to internal customers.
  • Oversees materials and service of third party providers and other contracts directly with internal lines of business and external customers. Interprets legal guidelines and understands and applies contractual/legal principles.

  • Prepare forecast & accruals on monthly base & reconcile the spent vs factored based on yearly budget regarding opex & capex.
  • Raise shopping cart with concurrence of service owner & GPO.
  • Renew security service / AMC contract within due date of contract expiry.
  • Validation of Guarding MDR authorized vs Actual deployment, indicate if there's any discrepancy to initiate further action from GPS, Legal & GPO.
  • Validate assets value, quantity, description of material interms of unit cost submitted during project finalization and actual quantity, make, cost invoiced for payment.
  • Manage factored vs spent & conduct monthly audit to establish the spends in accordance with GPS Annual budget.
  • Maintain Compliance document - ESI, PF, Labor license, Bonus payout & engage external auditor to perform half yearly audit to validate the statutory document.
  • Effective tracking of vendor invoice and payment release, update monthly payment tracker and obtain NDC on quarterly.
  • In case of non-submission of vendor invoice within stipulated time frame, notify GPO for further action & document the same.
  • Price analysis & negotiation with vendor before awarding contracts.
  • Security industry knowledge about electronic security device make/ brand & cost to evaluate vendor proposal/ quotation & share evaluation report to Manager for validation.
  • GR mapping regarding ESS procurement & installation on need base before processing invoice for payment.
  • Intermediate Vendor Management: Ability to manage a variety of external vendors, and understanding/enforcement of Contracts, Service Level Agreements, etc.
  • Report on physical security strategy and metrics (KPIs).

    Competencies and Skills:

    • Advanced Business Acumen: Ability to comprehend and manage financial aspects (shopping carts, purchase orders, and invoice review/approvals), develop business cases (cost/benefit), manage indirect and direct reports, and implement risk management fundamentals.
    • Advanced Customer Relations and Leadership Skills: Ability to manage a diverse range of internal stakeholders, including Executives and Senior Management, Lines of Business, SAP Global Security, Travel, Compliance, Audit, Human Resources, Procurement, Legal, Communications, Global Real Estate and Facilities, as well as participating on cross functional project teams.

    • Advanced Communication Skills: Strong English writing, speaking, and comprehension skills (in addition to local language proficiency), comprehension of analytical and technical data, and comprehensive understanding of Microsoft Office products.

    • Intermediate Vendor Management: Ability to manage a variety of external vendors, and understanding/enforcement of Contracts, Service Level Agreements, etc.
    • Expert Finance: Ability to work within SAP accounting and finance systems, and report/manage cost centers and accounts.

    • Beginner Physical Security Industry Knowledge: Full understanding of physical security product (manufacturer vs. distributor vs. integrator) and services market.
    • Organizational Skills: Strong organizational skills, to include rapid and succinct decision making, ability to multi-task on a regular basis, working independently, ability to handle sensitive information confidentially, ability to plan strategically while overseeing tactical implementation, while taking a proactive approach with a positive attitude.

    Experience, Education, and Certifications:

    > 7 years of accounting, treasury or finance experience or in required field (payroll, commissions, billing, banking, cash management, etc).

    • Good understanding of IFRS accounting issues and Sarbanes-Oxley requirements and local accounting skills.

    • Demonstrated expertise in creating and maintaining project deliverables such as, project charter, project management plan, status reports, project timesheets, communications plan, budget and schedule.
    • Demonstrated experience in managing issues, scope and quality while bring projects to successful completion within the cost and time requirements.
    • Experience with SAP ERP preferred

    • Associates degree in related fields.

    • Ability to pass background verification.
