Knowledge: Detailed knowledge on Facility Management for Locational operations and execution of fit out at site. Should have knowledge of working in SEZ environments.
Experience of co-ordination with SEEPZ authorities and customs authorities essential. Should have good knowledge in collation and working on Excel sheets and fair knowledge on the Finance and procurement process followed in MNCs.
Experience/Education: (UG Graduate) AND/OR (PG Any Stream Post Graduate), Preferred Diploma/Degree PGDBM in any Stream with over 7 -10 years of experience in Facilities Management in IT industry.
Assist the Branch Head in Vendor Management, Contract Management, Procurement Management, Cost Management, Real Estate and Space Management including General Maintenance & Engineering, Energy Management, Transport Management, Catering, Travel and Hospitality Management and Physical Security Management
Liaison with Central, State, Local Govt. and Semi Govt. Agencies including but not limited to SEEPZ and SEZ authorities.
Progressive manager of services with broad based achievements in General Administration skills, People management, Client interface, IT operation, Public Relations, Govt. Liaison and Effective dispute resolving.
Detailed Scope of Work
Ability to manage the administration and Soft Services aspects as in the IT/ITES MNC environment with the following
Responsible for managing day to day working in a multi tenanted facilities environment
Managing the Outsource Partners like Technical services (e.g. Air Conditioning), House Keeping and Security Partner Agencies
Office maintenance ensure clean and hygienic workplace for employees.
Monitor all service oriented activities of UPS, CCTV coverage and Access control systems of important areas and retention period, restricted area transaction logs, documents and registers maintained in concurrence with ISO audit standards and statutory compliances. Make sure all restricted areas like server rooms, Hub/server rooms and Media centers access system runs without any downtime, all access cards reconciliation done periodically and any inclusions / roll-offs are updated on a regular basis.
Supervise and instruct Housekeeping team to ensure cleaning and up-keep of all production floors, meeting rooms, conference rooms, board rooms, lift lobbies Reception area, Rest rooms, Store rooms, Material movement area, transport and cafeteria. Daily checks thru walk-around are conducted, snags observed and closed within the TAT to ensure zero escalation from the employee
Responsible for Maintenance & Engineering of work area and equipment therein,
Air-conditioning - ensure optimal working of the HVAC by maintaining Temperature control, Humidity control, Conduct maintenance and repair in the work area as the Server and UPS rooms as per laid down schedule. Should have fair idea of the technical aspects of various AC equipment.
Guide Incident Reporting methodology of all observable incidents in the site, investigate for RCA and report to the top management.
Implement various strategies to ensure high level security of office assets.
Co-ordinate and accommodate VIP visits as per company norms, their entry, access and walk-through are taken care. Board rooms and visiting areas are maintained as per company standards.
Oversee and Guide the overall operations of Mail Room, check and guide on the operations, collection / distribution of mails and couriers, register all discrepancies for proper RCAs
Annual Maintenance, Purchase and Vendor Management
Assist the Branch Head in all aspects of vendor management including laying requirements and qualifying criteria, identifying local vendors, evaluation, , lay down SLAs and monitor execution of annual maintenance service level contract and agreement.
Manage the complete processing for all procurement requests, including obtaining quotes, compilation of comparative, assessment & evaluation of vendors and release of PO s. Carry out vendor technical reviews, vendor services assessment and SLA monitoring, vendor staff briefing, monthly vendor performance and payments & Vendor development.
Comply with statutes and process audits (Internal & external)
Responsible for all Internal / External projects audits from Facilities perspective like ISO 27001, EMS (Environment Management System) ISO 19001, client project specific security audits and Health and Safety annual audits. Take the audit teams thru all important functions (as per different audit standards), conclude the process with closures, if found any, within the specified date.
Budgetary Planning and Expense Monitoring
Maintain Preparation & tracking of Facilities operational budget & project capital expenditures in project works
To assist in Forecasting, projecting and finalizing quarterly budget for operational and capital expenses of the facilities
To collate and submit MIS on a monthly expenses and analyze the data to bring in effective cost control measures.
Project & Real Estate
Execution/monitoring of office fit outs and up gradation of infrastructure
Participate in determining Scope of construction project work and project timing plan
Drawing up and executing rent agreements, finalizing commercial terms and conditions and execution of rent agreements. Maintain lease documents, Registration of leases due to expire and review lease documents in consultation with legal.
