We seek an experienced administrative professional to support a large client- facing ZS team led by several Principals (Partners), Associate Principals, and Managers.
This role provides opportunities for project coordination, client relationship development, and administrative support. This position will belocated in the Pune office, and will report to the Office Manager.
Team Coordination & Leadership Support Coordinate client- team leadership meetings, including calendaring, agenda management, note taking and logistical support
Plan and coordinate quarterly client- team meetings and semi- annual team building events
Support leadership with creation of PowerPoint presentations and slides for ZS planning and client development meetings
Work with ZS teams across India and the United States
Client Relationship/ Project Execution Support Support ZS leaders in developing and maintaining relationships with administrative, procurement, finance and management- support staff within client organization
Maintain client relationship database and organizational charts with up- to- date contact information for key client contacts
Facilitate distribution of ZS Point of View articles, news and webinars to key clients
Perform web research as assigned
Review sales reports and perform quality control checks
Provide as- needed administrative support to senior leadership in collaboration with their day- to- day administrative assistants
Increase work productivity of the team (screening calls, interacting with vendors, preparing correspondence)
Manage schedules of the team (scheduling meetings, travel and meeting arrangements)
Prepare and organize documents (printing, copying, organizing and archiving meeting/ support materials)
Assist with special projects as needed.
High school diploma required; post- secondary education or Associates/ Bachelors degree preferred
4- 7 years of relevant work experience as an Administrative/ Executive Assistant, preferably in a professional services environment Computer fluency with MSOffice (Word, PowerPoint, Excel and Outlook), Cisco WebEx, SAP and Concur desirable
Experience with meeting coordination and customer / teambuilding events
Administrative and logistical support for executive management or senior leaders Strong oral and written communication skills
Professional appearance and demeanor with ability to exercise good judgment and discretion
Attention to detail, dependability/ punctuality
Proactive self- starter with ability to manage a wide variety of tasks and meet deadlines
Experience working both independently and with a team in a demanding environment
