Office Executive / Coordinator
Job Description
Administrative Support:
- Manage executives' calendars, appointments, and meetings to ensure efficient time management.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Prepare and distribute correspondence, memos, and reports.
- Screen and direct phone calls and emails to appropriate parties
Document and Data Management:
- Assist in the preparation of presentations, documents, and spreadsheets using Excel.
- Maintain filing systems, both electronic and physical, ensuring accuracy and organization.
- Conduct research and compile data as requested by executives
Meeting Coordination:
- Schedule and coordinate meetings, including virtual meetings via Microsoft Teams.
- Prepare agendas, take meeting minutes, and follow up on action items.
Communication and Correspondence:
- Review, prioritize, and respond to emails on behalf of the executive.
- Handle confidential information with integrity and discretion.
- Facilitate communication between the executive and other departments.
Project Assistance:
- Assist with special projects and initiatives as needed.
- Provide administrative support to other departments when required.
Technical Proficiency:
- Utilize Microsoft Teams for virtual meetings, collaboration, and communication.
- Create and manage complex Excel spreadsheets for data analysis and reporting.
Skills and Qualifications :-
- Proficiency in Microsoft Office Suite: Excel, Word, PowerPoint, Outlook.
- Experience with Microsoft Teams: Scheduling, hosting virtual meetings, and collaboration.
- Organizational Skills: Excellent time management and ability to prioritize tasks.
- Communication Skills: Strong verbal and written communication abilities.
- Attention to Detail: High level of accuracy and attention to detail in all tasks.
- Discretion and Confidentiality: Ability to handle sensitive information with discretion.
- Problem-Solving Skills: Proactive approach to identifying and solving problems.
