Job Description

ROLES AND RESPONSIBILITIES

General:

  • Monitor the Library staff, their permissions and leave requirements.
  • Feasibility in having an apt number of staff for the functioning of both the PYP and DP libraries of the CBE MAIN campus.
  • Aid to the HR department for recruitment of library staff across the campus.
  • Ensure that the staff are aware of the TIPS library requirements.
  • A well maintained check in (Return) and check out (Issue) register is made available at PYP and DP library at CBE and it is cross checked periodically.
  • A Log in register is maintained and monitored at the DP Library on an everyday basis.
  • Setting up a DDC classification system through with every book is kept in an organized manner.
  • Shelving the library books as per the DDC classification system.
  • Placing the news dailies and replacing them on an everyday basis.
  • Magazines and Journals are systematically available after registered entry on a weekly, bi-monthly and monthly basis.
  • Information on library quotes, interesting facts and other book related information on the Library bulletin Boards.
  • Unpacking of the New/Updated books and making it available for the students.
  • Sorting out the old books as per the academic requirements.
  • Storing the books that are old/ outdated in a very protective manner and made available only on request for teachers only.
  • Procured books are carefully processed as per the below steps :-
  • Transporting the books from TIPS KG campus if required
  • Organizing the gardeners to shift the books to the respective library.
  • Cross checking the procured book with the invoice and purchase order
  • Labeling the books by adding an accession number and a call number in the appropriate manner.
  • If need be certain books are given for binding.
  • Direct contact with the binding department outside of the school with the payments made through the Accounts.
  • Entering the books into the ILMS (KOHA).
  • Shelving the books in the concerned section or shelves for easy access of the users.
  • Dispense the No- Dues for Staff, Passed out and Discontinued Students
  • In case of Loss of books or resources a fine is levied as per the library policy.
  • Information on defaulters on the No Dues only but in case the books are returned at a later stage it will be communicated to the admission department.
  • Maintaining the library hours from 8:30 am to 5:00pm and on special needs from the Coordinators
  • Provision to the 3D theater will be given through prior mail confirmation. The email confirmation is maintained by the staff in the library.
  • On need basis, movies/videos will be downloaded and played in the 3D theater.
  • Ensure the library is clean and tidy and is a safe learning environment during working hours.

Corporate Librarian Responsibilities:

  • Provide Resources to support the school curriculum (CBSE, IGCSE, ICSE and IB) across the campuses.
  • Promote the library usage for holistic teaching and learning across all the grades from Pre-Kg to DP across the campus.
  • Procurement of books through known publishers.
  • Negotiating with publishers and formulating a budget for approval.
  • Setting up of the library equipped with resources that are accredited as per the PYP, CBSE, IGCSE, and DP programs. Especially during the authorization, evaluation and accreditation processes.
  • Organizing the ILMS software for the existing books and resources on a multi-dimensional platform through KOHA.
  • Inclusion of the resources for the new TIPS campuses into the ILMS software such as for e.g. TIPS MADURAI and TIPS MALAYSIA
  • Auditing all the campuses library resources periodically.
  • Build good collections across campuses through suggestion from the higher authorities.
  • Handling and maintenance with proper documentation of library related documents such as Accession Register, Bills, etc across the campuses.
  • Monitoring the other campus staff to make sure that they encourage the students, teachers and other users to use quality information and resources.
  • Make Awareness about academic honesty, practices and standards of the school across the campus
  • Supports literacy development, including digital and information literacy.
  • Ensure books and resources are well organized and up to date across the campus
  • Planning and deploying library based lessons as per the need and availability of time.
  • To aid the staff to understand the library policies and procedures that are up date for effective management.
  • To assign the respective duties for all Library Assistants during the time of visit or any important occasions.
  • To make them understand the amount of work that will have to be showcased during the authorization and evaluation of the school.
  • Enable all Librarians to be able to get commendation during the evaluation of PYP and DP.
  • Promote the library resources and reading by conducting book fair, and other events across campus as per the requirements cited by the coordinators.
  • Circulating the library books across campus during the authorization and evaluation of the school.
  • The number of books are well maintained during transit and care is taken that none go missing
  • Periodical (magazines, journals and E-resources) are send from the Main campus to all other campuses and their utilization and importance is communicated to all librarians.
  • The PYP and MYP resource books / binders are made available by taking the count and ensuring that all students receive the necessary academic books.
  • Assisting the TIPS TECH librarian in special focus to the academic inspection. And University visits and Meeting out the library demands as per the requirements.


Additional Responsibility:

  • To review and approve all the printing resources before it gets printed at EDP
  • As an admin staff of TIPS CBSE, to be Student Survey and CBSE exam invigilator.
  • Support the Oral Language (English, Kannada, Hindi, ) Examinations of the IGCSE and DP Role & responsibilities
